Manage Messaging Team Invitations

Share or revoke access to messaging teams.

 Note

Only the company account owner or a team member with administrator permission can send or delete team invitations.

Team Access for Messaging

When you create an Airship account, Airship actually creates two linked accounts for you:

  1. Company Account ("company")
    • Contains your projects.
    • Controlled by a single user account.
  2. User Account ("user")
    • The owner of the company account. A company has a single owner. Every Airship user is the owner of their own company account.

Teams for messaging are at the project level. The company owner or a user with administrator permission will:

  1. Open a messaging project and navigate to Settings » Team Access.
  2. Send an invitation to join the project team. When the user accepts, they’re granted access to the project.
  3. Go to Team Management for their account and share access to additional messaging projects.

Invite a Team Member

Sending a team invitation is the same thing as sharing access to a messaging project.

You can invite users to your project from the Team Access section of a project's Settings menu. There are two ways to navigate to Team Access.

  1. Open a messaging project and go to Settings » Team Access.

OR

  1. Click in the right side of the Airship dashboard header and select Team Management.
  2. Under Share Project, click next to a project name. This opens Team Access for that project.

Now you can create an invitation:

  1. Click in the Team Member field, then fill out the form.
    • Team Member: Enter the email address or username of the user you want to invite.
       Note

      If the user has an existing Airship account, enter the user's Airship username. Otherwise, enter the user's email address. In either case, the user will receive an email with an invitation to accept the new access. See: Accept Invitations.

       Note

      Usernames are case-sensitive. Always use the username, if available. If you enter an email address for an existing Airship user and that user's account is associated with a different email address than the one you are inviting, he or she may attempt to create a new account.

    • Access Level: Select from the dropdown menu. See Permissions for detail.
    • Send email from: Choose whether to send the invitation from your email address, or Airship.
      • Your email address: This is the best option. The invitation will appear to be sent directly from you, and you will receive any bounce notifications if the email address is invalid. The invitation is also less likely to be caught in the recipient's spam filter.
      • Send from Airship: Some companies' email servers enforce a rule requiring domain name and email sender fields to be the same. If this is true for your company, choose this option to ensure that your email goes through. However, you may also want to ask the recipient to look for this email and check their spam filter.
    • Message: (Optional) Add a personal note.
    • Send a copy to yourself?: (Optional) Check the box to send yourself a copy of the invitation.
  2. Click Share Project.

The new user appears in the Team Member list by username if an account already exists, or by email address if an account still needs to be created. Invited team members will have (pending) next to their username or email address until they accept the invitation or create an Airship account.

If a user with an existing Airship account declines an invitation, the user is removed from the project's Team Member list.

A user without an Airship account will remain on the Team Member list as (pending) until they accept access or until manually removed.

Accept a Team Invitation

If you do not yet have an Airship account, you will receive an email with a request to to confirm your email address and activate your account. Saving your password activates the account and triggers the project access email.

If you have an account and have been invited to a project, you will get an email to accept access.

To go to this page, click in the right side of the Airship dashboard header, and click Team Management,

If you decline an invitation, your invitation is permanently deleted. You cannot revert your decision and accept the invitation later. The project owner or an administrator must invite you to the project again.

Delete a Team Invitation

To delete a team invitation, you must change a user's access level to Remove Access.

  1. Open a messaging project and go to Settings » Team Access.
  2. Click edit next to the user's current access level.
  3. Select a new access level.
  4. Click Save.
